These Terms of Service are entered into between you and ATOMO HONGKONG CO., LIMITED, trading as HotvoiceAI (“HotvoiceAI,” “we,” “us,” or “our”).
These Terms govern your use of hotvoiceai.com and our related products and services, including HotvoiceAI recording devices, applications, software, AI transcription, summaries, and other features collectively referred to as the “Services.”
By accessing or using the Services, creating an account, or placing an order, you agree to these Terms and our Privacy Policy. If you do not agree, please do not use the Services.
You must be at least the age of majority in your place of residence to use the Services or make a purchase.
You agree to provide accurate and complete account, billing, payment, and shipping information. You are responsible for protecting your account credentials and for all activities conducted through your account.
You may not transfer, sell, or provide your account to another person without our permission.
We make reasonable efforts to display and describe our products accurately. However, product colors, appearance, packaging, specifications, and available features may vary slightly from those shown on your screen.
We may update, modify, limit, or discontinue products, software features, AI models, or Services when reasonably necessary. This does not affect any mandatory rights you may have under applicable consumer protection laws.
You are responsible for using HotvoiceAI products and Services lawfully.
Recording laws and consent requirements vary by country, state, and region. Before recording any person or conversation, you must provide any required notice and obtain all legally required permissions or consent.
You must not use the Services for unlawful, unauthorized, deceptive, or covert recording. HotvoiceAI is not responsible for your failure to comply with recording, privacy, confidentiality, employment, or data protection laws.
Transcriptions, summaries, speaker identification, translations, action items, and other AI-generated results may contain errors or omissions due to background noise, accents, recording quality, connectivity, overlapping speakers, or limitations of automated systems.
You are responsible for reviewing and verifying AI-generated results before relying on, publishing, or sharing them.
The Services do not provide medical, legal, financial, or other professional advice and should not be used as the sole basis for high-risk or legally significant decisions.
You retain ownership of recordings, text, and other content you upload or create through the Services.
You grant HotvoiceAI and its service providers limited permission to process your content only as reasonably necessary to operate, maintain, secure, support, and improve the Services, as described in our Privacy Policy.
You confirm that you have the legal right to upload and process all submitted content and that doing so does not violate another person’s privacy, confidentiality, intellectual property, or other legal rights.
Placing an order constitutes an offer to purchase. An order is accepted after payment is successfully processed and we send an order confirmation.
We may cancel or refuse an order because of payment failure, suspected fraud, pricing errors, stock limitations, shipping restrictions, or other reasonable business or legal reasons. If we cancel a paid order, we will refund the amount charged.
Prices, discounts, and promotions may change without notice. Taxes, shipping fees, customs duties, and import charges are not included unless stated during checkout.
You are responsible for providing accurate payment information and confirming that you are authorized to use the selected payment method.
Delivery times are estimates and are not guaranteed. Delays may occur because of carriers, customs, weather, incorrect addresses, or circumstances outside our reasonable control.
Customers are responsible for providing complete and accurate shipping information and for paying applicable import duties and local taxes.
Risk of loss passes to you when the order is delivered, unless otherwise required by applicable law.

Returns, exchanges, and refunds are governed by our Return & Refund Policy.
Return requests must be submitted through info@hotvoiceai.com or our online customer service before sending a product back. If approved, we will provide the authorized return instructions and designated return address.
Products sent without prior approval or to an unauthorized address may not be accepted.
If you purchase a subscription or paid software plan, it may renew automatically at the frequency and price disclosed during purchase until canceled.
You may cancel through the account, application, payment platform, or customer service channel used to purchase the subscription.
Cancellation normally stops future renewals and does not automatically refund the current billing period unless required by law or stated in the applicable Subscription Policy.
Returning a device does not automatically cancel a related subscription. Device returns and subscription cancellations must be completed separately.
HotvoiceAI grants you a limited, personal, non-exclusive, non-transferable, and revocable license to use our software and applications with authorized HotvoiceAI products.
You may not copy, sell, reverse engineer, modify, distribute, bypass security controls, or use the software to create a competing service, except where such restrictions are prohibited by law.
We may provide software, firmware, security, and feature updates. Some updates may be required for the continued operation, security, or performance of the Services.
The HotvoiceAI website, trademarks, logos, product designs, software, text, images, videos, graphics, and other materials are owned by or licensed to HotvoiceAI and are protected by applicable intellectual property laws.
You may use these materials only for personal and non-commercial purposes. No rights are granted except those expressly stated in these Terms.
If you provide reviews, suggestions, or feedback, you grant us permission to use that feedback to operate, improve, and promote the Services without compensation to you.
You may not use the Services:
For illegal, harmful, fraudulent, or deceptive activities;
To violate recording, privacy, intellectual property, or data protection laws;
To upload malware or interfere with the security or operation of the Services;
To gain unauthorized access to accounts, systems, or data;
To harass, threaten, impersonate, or harm another person;
To scrape, resell, copy, or commercially exploit the Services without permission;
To remove, bypass, or interfere with security or access controls.
We may suspend or terminate access where we reasonably believe these Terms have been violated.
The Services may rely on third-party platforms, payment providers, cloud services, AI providers, applications, or links. Your use of those services may also be subject to their own terms and privacy policies.
Our online store is powered by Shopify. Purchases are made directly from ATOMO HONGKONG CO., LIMITED, trading as HotvoiceAI, and not from Shopify.
Shopify is not responsible for HotvoiceAI products, orders, customer service, refunds, warranties, or transactions.
To the maximum extent permitted by law, the Services are provided on an “as is” and “as available” basis.
We do not guarantee that software, AI features, online Services, or third-party integrations will always be uninterrupted, error-free, secure, or available.
Nothing in this section limits any express product warranty, published refund policy, or mandatory consumer rights that apply to your purchase.
To the maximum extent permitted by law, HotvoiceAI and its directors, employees, affiliates, contractors, and service providers will not be liable for indirect, incidental, special, punitive, or consequential losses, including lost profits, business interruption, loss of data, or replacement costs arising from use of the Services.
Nothing in these Terms excludes or limits liability or consumer rights that cannot legally be excluded under applicable law.
We may suspend or terminate your access to the Services if you violate these Terms, misuse the Services, create a security risk, or engage in illegal or fraudulent activity.
Termination does not affect payment obligations or provisions that by their nature should continue after termination, including intellectual property, liability, and governing law provisions.
If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in effect.
These Terms, together with our Privacy Policy, Return & Refund Policy, Shipping Policy, and any applicable Subscription Policy, form the entire agreement between you and HotvoiceAI regarding the Services.
We may update these Terms by publishing a revised version on this page.
Where required by law, we will provide notice of material changes. Your continued use of the Services after the updated Terms take effect constitutes acceptance of the revised Terms.
These Terms are governed by the laws of the Hong Kong Special Administrative Region, without limiting any mandatory consumer rights available in your country or region.
Any dispute will be subject to the jurisdiction of the courts of Hong Kong, except where applicable consumer protection laws provide otherwise.
